Depending on the success of it, we are seriously considering making this an annual event.

Hi guys

Please take note of the following:


Safety

This event is NOT a race, but rather a CRUISE to the photo location and as such the following rules need to be observed, not only to ensure your safety, but also that of your fellow dubbers and all road users alike. If you want this event go ahead on the day, or to become an annual event as we are hoping it will, we need to ensure that this event goes off without incident and any non-compliance with the below will not be tolerated - we would hate to have ask you to leave due to your unacceptable behaviour, and it would be terrible if we were put in a position where we were unable to host another event in the future based on the outcome of this event, so please act responsibly.

1. The convoy will be travelling at the speed limit and we ask that you observe common sense. Remember that the club does not condone street racing so if you want to race, kindly do this somewhere else – preferably on a race track.
2. No reckless or negligent driving will be tolerated. We are making use of public roads and therefore the normal rules of the road will apply. The route we have planned will offer plenty of driver enjoyment without the need for any ‘hooning’!
3. We anticipate a large volume of vehicles in the convoy and a safe following distance is a pre-requisite, particularly on the tight and twisty sections. The last thing we want is someone being involved in, or causing an accident.
4. You will need to sign an indemnity form on arrival at the Pavillion. Neither the club nor the people who arranged this event can be held responsible for your actions. You will in turn be given a sticker which must be placed on the top of your front windscreen (on the driver’s side). You will not be allowed to officially join the convoy if you do not have the sticker!
5. The location for the photo-shoot has kindly been ‘donated’ by a third party. This is someone else’s business and as such we need to appreciate and respect this gesture – therefore any acts which will believe are in contradiction with this philosophy will be met you being asked to leave the premises immediately. Absolutely no incidents of wheel-spinning, speeding or any other unacceptable behaviour on site will be tolerated. Remember that not only is there the potential for you to cause damage to property, be it your car or the warehouse itself, but there is also a chance that you could injure someone, especially with the volume of people expected on site.
6. There will be marked cars in the convoy which will be shooting both video and still footage. In order to do so effectively, these vehicles will need to move up and down the convoy and you are therefore asked to give these vehicles priority when it comes to overtaking and coming back into your lane after overtaking.

Things to bring with you on the day

1. We will be travelling approximately 80km’s from the Pavillion to the location. Please ensure that you have sufficient petrol/diesel in your car as we do not want people breaking away from the convoy to fill up.
2. There will be 1 toll road along the route – you will need R7 in cash as we will all be filing through 1 lane in order to facilitate some of the video footage.
3. Your own meat for braaing, or any other alternative food that you want – there is not going to be any food available to purchase at the event, and we do not want people ducking off mid-convoy to grab a meal – please come prepared.
4. Your own drinks, whatever that may be (and ice if need be) – but again, please remember that the club in no way condones driving under the influence of alcohol and should you choose to do this, it is at your own risk, and is strongly discouraged.
5. Any cutlery/crockery/glasses etc you may need
6. Chairs if you want to sit
7. Shade if you want it in the form of Umbrellas or Gazeebos as you may require
8. Your car may pick up some dirt along the way so should you wish it to be clean for the shoot, I would suggest bringing along whatever cleaning products you use – there will NOT be running water for hose pipes etc.

General

1. ‘Pace notes’ will be handed out at the start of the event - Please make sure you follow them - These will include:
a. Step by step directions of the route to be followed
b. Warnings such as potholes or speed bumps to watch out for along the route
c. Indication of at least 2 points where guys will be shooting video footage from
d. General guidelines of what we want you to do at certain points – e.g. stop at a rendezvous point, or drive in single file, or drive in a certain lane on the freeway for video capturing purposes etc
2. In order to facilitate the admin on the day, it would be greatly appreciated if you could bring the exact amount of money needed for the photo-shoot – remember the costs are R150 for paid up VW Club members, and R175 for non-members.
3. There will 1 car designated as the lead car – this will be pointed out to you at the start of the event – please do not pass this car under any circumstances
4. There will 1 car designated as the last car – this will be pointed out to you at the start of the event – please do not fall behind this car under any circumstances
5. You are welcome to take your own photos along the way and of the cars that will be parked at the venue. However, you will NOT be allowed to take any photos of the cars parked in the designated photo-booth area. The photographers have been hired to take professional photos of the cars and their equipment such as external flashes etc can be triggered by your cameras, thus disrupting their shooting sequences – this will not be fair on them and will only delay the process.
6. We cannot stay at the photo-shoot location indefinitely and once we call it a day there those of you wishing to continue the get together can meet at Vmacs
7. Toilet facilities are available on site – please do not leave them in any state other than what you would leave you own

Please guys, it is imperative that you act responsibly. Let's go out there and have a great time together without cocking it up for ourselves. A lot of effort has gone into planning this event and we really need you to play your part in its success.

From the audi club a few guys have shown interest, so add about +- 5 cars.

Sorry bro, but remember that this event is not about racing or showing how fast or powerful your car is, or how good a driver you are... those events will be coming later in the year (gymkhana / dyno day / track day etc). This is a slow cruise to the photo-shoot/braai/chill out spot - we have to act responsibly as we will be on public roads for the run to the photo-shoot, and then using someone else's business for the shoot itself. We cannot afford to bring the Club's name into disrepute and want this to go off without incident so we can continue to arrange events of this nature going forward.

Just a quick one...

There have been some questions about where we will land up - i.e. an 80km run.... please note that in reality it is more like a 40km route heading away from Durban and 40km back. Our final destination will therefore be in a very similar area to where we left from.

Hopefully this will put to rest any concerns that some of you may have had about being too far away from home at the end of it all.
